What is PNC Online Payroll?
PNC Online Payroll is a fast, easy, and cost effective way to automate the time-consuming work of payroll for small businesses with 1-150 employees. PNC Online Payroll is available within PNC Online Banking which means there is no additional software to buy or install. Just sign on to Online Banking and click Online Payroll to get started.1

PNC Online Payroll simplifies payroll by automating payroll calculations, sending email reminders to help ensure you stay on track with meeting key payroll filing and payment tax deadlines, offering telephone and email support, W-2 processing, and integration with QuickBooks,2 as well as many other accounting software packages.

How does the service work?
PNC Online Payroll helps you to automate time-consuming payroll work. PNC Online Payroll guides you through everything from setup, to creating paychecks to W-2 forms at year-end. To help remain on top of your payroll, you'll receive email reminders letting you know when it's time to pay your employees. Simply log into your account and enter in the employees' hours. PNC Online Payroll will then calculate your employees' paychecks and allow you to pay them in three different ways: with a handwritten check, on pre-printed check stock, or by free direct deposit to any bank account.

PNC Online Payroll also ensures that you never miss a federal or state tax filing or payment due date by sending you email reminders; and automatically generates your federal 941 and 940 forms for you. You simply review them after receiving our email reminder and send the filings and payments electronically to the IRS with the click of a button. Depending on the state where your business is located, PNC Online Payroll supports your state filings and payments in one of three ways - electronically, with signature-ready forms, or with worksheets. To keep you in control of your funds PNC Online Payroll never impounds your payroll taxes and your tax liabilities remain in your possession until you're ready to pay them! Best of all, PNC Online Payroll works with QuickBooks,2 as well as many other accounting software packages, so you never have to enter data twice.

Which PNC Business checking accounts can I use with PNC Online Payroll?
PNC business checking accounts eligible for enrollment in PNC Online Payroll are: Business Basic Checking, Business Enterprise Checking and Analysis Business Checking

How will my employees get paid?
The easiest and safest way to pay employees is to take advantage of direct deposit. PNC Online Payroll includes free direct deposit. For employee records, PNC Online Payroll creates professional pay stubs you can print on your own paper. Even better, you can set up PNC Online Payroll so that on pay day, the service automatically sends employees an email letting them know they have a pay stub available. Employees log into a secure website to view and print their pay stubs online.

I don't currently offer direct deposit as a payment option - will PNC Online Payroll help me initiate this?
Yes, once enrolled, you will be guided through the process of setting up direct deposit for your employees.

What types of check stock can I use with this service? What if I pay employees by check?
You can print paychecks from your computer using pre-printed computer check stock.

  • PNC Online Payroll works with (QuickBooks,2 compatible) laser voucher checks with the check on the top third of the page, and the stub on the bottom two thirds of the page.
  • For information on ordering the correct check stock for PNC Online Payroll, call 1-877-PNCPYRL.
  • You can also manually write checks using your own check stock and print legal pay stubs using your own blank paper.

Does PNC Online Payroll handle W-2s?
PNC Online Payroll does handle the W-2 forms for both the employer and employee. You will receive an email reminder when it is time to issue the W-2 forms. You can view the completed W-2 forms on your screen and print out copies on plain or perforated paper to distribute to your employees. To complete the filing of the employers portion of the W-2 form, simply click submit to electronically file to the Social Security Administration.

Does PNC Online Payroll help me pay 1099 contractors?
PNC Online Payroll service supports the payment of 1099 contract workers. PNC supports two types of payment for vendors; "contractor payment" and "reimbursement". You can enter up to 50 contractors in the employee section of your PNC Online Payroll account and can pay them either by check or direct deposit.

Does PNC Online Payroll work with my accounting software?
PNC Online Payroll works with many accounting and bookkeeping solutions, including QuickBooks, Quicken, QuickBooks Online Edition, QuickBooks for Mac, Peachtree3 and Microsoft,4 Money so that you never have to enter data twice.

My company only has one employee. Can I still use PNC Online Payroll?
Yes! PNC Online Payroll is designed for small businesses including those that have only one employee. Government agencies require the same obligations whether you have one employee or twenty.

What types of businesses can use PNC Online Payroll?

  • Expressly designed for small businesses with 20 or fewer employees (but it can support up to 150 employees).
  • Ideal for both businesses as well as non-profit employers.
  • Works for all industry types except agricultural-based businesses.

What types of businesses cannot use PNC Online Payroll?

  • If you have more than 150 active employees, PNC recommends using our partner-outsourced payroll processing. Contact your PNC Business Banker or PNC Treasury Management Officer for information on our other payroll alternatives.
  • PNC Online Payroll is not for agricultural based businesses that require federal form 9435.
  • The service is also not for individual use in paying household employees.
  • PNC Online Payroll is only for companies located in the 50 United States. It does not support U.S. territories or other countries.

How is PNC Online Payroll different from payroll available in accounting softwares?
PNC Online Payroll has features like helpful email reminders, direct deposit, an employee website for accessing pay stubs and payroll history, electronic federal tax payments and filings, and electronic state tax payments and filings, to name a few. PNC Online Payroll also maintains up-to-date tax tables and forms, so you never have to worry about updates or pay for software upgrades.

How is PNC Online Payroll different than traditional payroll services?
PNC Online Payroll takes a completely different approach than some more traditional payroll services.

  • Uses the Internet to automate tedious, time-consuming payroll work, while still keeping you in full control.
  • Allows you to process pay day, tax payments and tax filings on your schedule, not someone else's.
  • For future tax payments, the money stays in your account until you tell us to send your payment.
  • PNC Online Payroll is less costly than most traditional payroll services.

Does PNC Online Payroll help me with both my state and federal payroll tax payments and form filings?
PNC Online Payroll allows you to pay and file all of your federal payroll taxes electronically. You'll receive an email reminder whenever a tax payment or form filing is due; just click create payment to complete the payment or submit to complete 941,940 electronic form filing. You can also print a copy for your records or to share with your accountant.

State filing and payments can also be made electronically in most states. If electronic filing is not available for your state, the service provides signature-ready completed forms for you to sign and mail. When an original form is required, a worksheet is provided with all the information you need to transfer to the original form, print and mail.

What if I pay state taxes to multiple states?
PNC Online Payroll manages taxes due in multiple states: (a) you have work locations outside of your primary work state or (b) you have at least one employee that resides in a state outside of your primary work state and you have elected to withhold and file state taxes on behalf of that employee. There is a $12 monthly fee for each additional state with a tax filing obligation.

Can I pay employees by Direct Deposit to other banks than PNC Bank?
Yes, however, when all your employees are paid by Direct Deposit into a PNC Bank Checking account, your standard monthly fee will be reduced from $39.99 to $19.99.1 Additional fee of $1.99 per employee over 5 will still apply.

How will you bill me for any fees?
Fees associated with PNC Online Payroll will be charged each month on the date you enrolled. Fees will be automatically deducted from the credit card or PNC deposit account you specify at enrollment. These charges will appear as "Payroll Service Fees".

Other payroll related debits for direct deposit and tax activities will be deducted from your PNC deposit account and will simply be labeled "Payroll" on your bank statement.

Am I locked into using the service for any length of time?
You can cancel PNC Online Payroll Service at any time. There's no minimum amount of time you must use the service.

How do I get started?
Getting started with PNC Online Payroll is easy.

Not Yet a PNC Business Customer? Switch to PNC today!
  1. Open an eligible PNC Business Checking account -- Business Basic Checking, Business Enterprise Checking, or Analysis Business Checking
  2. Enroll in PNC Online Banking. Go to pnc.com/smallbusiness and click on "Get Started" in the Online Banking signon box to enroll your business account in PNC Online Banking. Once enrolled, look for the Online Payroll tab and you'll have access to PNC Online Payroll whenever you sign on.

Not yet using PNC Online Banking with your PNC business account(s)?
Enrollment is fast and easy, and you'll have 24/7 access to your PNC account information.

  1. Go to pnc.com/smallbusiness and click on "Get Started" in the Online Banking signon box to enroll your eligible business account(s).
  2. Once enrolled, look for the Online Payroll tab under My Accounts for payroll setup instructions. You're business will gain access to PNC Online Payroll and all the benefits of PNC Online Banking and Bill Pay whenever you sign on.
Already using PNC Online Banking for your business?
  1. Sign on to PNC Online Banking and click the Online Payroll tab. Use the Enroll Now button to begin set up of your Payroll account.
  2. Enter information about your employees and your business, including your PNC Business Checking account number.

Be sure to follow up with your employees to get their account information and direct deposit authorization forms. PNC Online Payroll will guide you through the process of getting the direct deposit payment option all set up. And, if all of your employees' pay is directly deposited to PNC checking accounts, you can save even more on your monthly fee!1

How long does it take to set up?
Setup time varies depending on how many employees you have, what time of year you get started, and your previous payroll method. Most customers are able to set up a PNC Online Payroll account in less than an hour. If you cannot finish setup in one session, when you next log-in, we will prompt you to start where you left off. Once you complete your enrollment in PNC Online Payroll, you can begin running payroll.

I am currently using a different payroll solution. Can I switch anytime?
You can switch to PNC Online Payroll from any other payroll solution at any time of the year. When you set up your PNC Online Payroll account, the Setup Wizard will ask a few questions to customize your setup flow. If you've already paid wages to employees any time during the calendar year, the Setup Wizard will guide you to enter year-to-date payroll information. That way, your withholding calculations, tax payments, form filings and W-2s will be accurate. Please check with your current payroll provider, if applicable, regarding any termination clauses which may apply.

The standard fee of $39.99 per month for up to five (5) employees/contractors, or $19.99 per month for up to five (5) employees/contractors when payroll for all employees is directly deposited to PNC Bank Checking accounts, will apply after the introductory period. Discount will no longer apply if, subsequently, one or more employees do not establish or maintain their direct deposit to a PNC Bank Checking Account.
